The Definitive ISO Stage 1 & Stage 2 Audit Readiness Checklist
By Proceva Advisory Team•7 min read•Reviewed for 2025/2026 Audit Cycles
Facing an accredited ISO certification audit can trigger anxiety across leadership and operations. However, audits are fundamentally objective evaluations against explicit criteria. If your documented information exists, your operational records reflect reality, and your team understands their roles, passing Stage 1 and Stage 2 audits is straightforward.
Use this comprehensive checklist prepared by Proceva Consultancy to audit your own system before the Certification Body arrives on-site.
Phase A: Stage 1 Audit Readiness (Documentation & System Architecture)
Stage 1 is primarily a desk audit where the external registrar verifies that your management system documentation conforms to the standard and that you have met mandatory prerequisites before authorizing the on-site Stage 2 audit.
1. Defined Scope & Boundaries (Clause 4.3):Explicit description of the products, processes, physical locations, and any justifiable exclusions (e.g. Clause 8.3 Design & Development if manufacturing purely to customer drawings).
2. Quality / Management Policy (Clause 5.2):Signed by executive leadership, aligned with organizational purpose, and visibly communicated to staff.
3. Complete Internal Audit Cycle (Clause 9.2):Mandatory prerequisite for Stage 1 clearance: A full internal audit covering every clause and process, accompanied by recorded NC logs and auditor competency records.
4. Management Review Meeting (MRM) Minutes (Clause 9.3):Mandatory prerequisite: Documented minutes of an executive review discussing audit findings, customer feedback, risk mitigation status, and resource needs.
Stage 2 evaluates whether what is written in your SOPs is actually happening on the factory floor, warehouse, laboratories, and administrative desks.
5. Calibration & Traceability Logs (Clause 7.1.5):Every measuring instrument, vernier caliper, pressure gauge, or weighing scale must have an active calibration sticker and traceable certificate.
6. Material Identification & Traceability (Clause 8.5.2):Clear status marking on all raw materials, work-in-progress (WIP), and finished goods (e.g. Accepted, Rejected, Under Inspection).
7. Vendor Evaluation & Purchase Control (Clause 8.4):Approved supplier list, periodic supplier rating scores, and incoming inspection records.
8. Employee Competency & Training Records (Clause 7.2):Job descriptions, training needs identification (TNI), and attendance sheets verifying workforce awareness.
